Editing PDFs with Preview

You can use Mac OSX's Preview application to edit PDFs. Preview is available on all Mac computers in the Tech Lab.

Combine or Merge Two PDFs

  1. In Preview, open the two PDFs you would like to merge.
  2. For each document, from the toolbar, click Sidebar to open the sidebar drawer. You will see thumbnails of each page in the PDF.
  3. Click on the thumbnail of the page you would like to add to the target document. (Hold down the Command key to select multiple pages.)
  4. Drag the selected thumbnails of the page(s) to the sidebar of the target document. Note: if the target document has only one page, drag the thumbails directly on top of the target document's page thumbnail. If the target document has multiple pages, you can drag the thumnails between two of the target document's thumbnails.

Hint: You can also drag files directly from the Finder in this same manner.

Delete Pages

  1. In Preview, open the PDF.
  2. From the toolbar, click Sidebar to open the sidebar drawer. You will see thumbnails of each page in the PDF.
  3. Click on the thumbnail of the page you would like to delete. (Hold down the Command key to select multiple pages.)
  4. Go to Edit > Delete or click the delete button on your keyboard.

Rearrange Pages

  1. In Preview, open the PDF.
  2. From the toolbar, click Sidebar to open the sidebar drawer. You will see thumbnails of each page in the PDF.
  3. Click and drag the thumbnail of the page you would like to move to its new location. (Hold down the Command key to select multiple pages.)

Annotate PDFs

  1. In Preview, open the PDF.
  2. From Tools > Annotate menu, choose the tool you would like to use. You can mark up the document with arrows, shapes, text, links, comments, highlights, and more.
